Looking for Friendly Receptionist/Admin Assistant for Busy Office

Pinnacle Architecture is looking for a professional (and fun!) receptionist/administrative assistant to help a busy office with a variety of tasks from answering phones to data entry. Learn about accounting, bookkeeping, human resources, information technology, marketing, and architectural project support. You need a positive attitude, willingness to jump in when needed, and a knack for figuring things out (e.g., technology issues, research projects, etc.). Pinnacle’s staff are committed to enhancing lives and communities through our work. We help house the vulnerable, build the health of communities, and educate the next generation. At Pinnacle, we have fun with monthly “Pinnacle Pints,” and are a supportive, family-friendly office.

MINIMUM REQUIREMENTS:
• 2-years general office experience
• Self-starter; can work independently
• Excellent people skills
• Great organizational, office and communication skills
• Intermediate to proficient with Microsoft Office Suite (Word, Excel, Outlook)
• Current driver’s license and reliable transportation

A SAMPLING OF GENERAL RESPONSIBILITIES:
• Greet and assist clients and guests
• Answer phones
• Keep kitchen and conference room tidy
• Manage company conference room calendar with staff and subleases
• Process mail
• File and scan documents
• Order and maintain inventory of office and kitchen supplies
• Assist in the planning and preparation of in-house meetings
• Coordinate the repair and maintenance of office equipment (plotter, printer, postage meter, phones, etc.)
• Keep phone list (and phones) updated
• Facilitate IT issues with staff (working with our IT Service provider)
• Manage our Microsoft Office 365 administrator account
• Coordinate company parties and outings
• Ship documents (snail mail, UPS, etc.)
• Coordinate travel
• Company errands
• Help with special projects (for example: arranging for electronic recycling, cleaning up storage areas, etc.
